Experience letter for a software engineer

Every IT employer runs background verification (BGV) on past jobs, and visa applications (H-1B, Canada Express Entry, Germany Blue Card) need experience letters that state duties. The letter must match what HR will confirm when the verification agency calls.

To whom it may concern,

This is to certify that Mr. Arjun Menon (Employee ID 2041) was employed with Infotrail Solutions Private Limited from 14 September 2020 to 30 September 2026. He joined as Software Engineer and held the position of Senior Software Engineer at the time of leaving.

His responsibilities included designing and developing web applications using Java, Spring Boot and React, writing unit and integration tests, participating in code reviews, and mentoring two junior developers. He worked full-time, 40 hours per week, and his last drawn CTC was Rs. 14,50,000 per annum.

His conduct and performance were excellent. He resigned to pursue other opportunities and was relieved after serving the notice period. All dues have been settled.

We wish him the very best.

Signed

What it must include

  • Employee ID and both the joining and last designation
  • Technologies, duties and seniority (visa officers look for these)
  • Full-time status and hours per week (needed for Canada / Australia skills assessment)
  • Last CTC if the employee wants it (optional in India, often required for visas)
  • HR signatory with email and phone for BGV calls

Common mistakes

  • Designation on the letter different from what HR's records say — BGV flags it.
  • Only one line of duties when the letter is for immigration.
  • A relieving letter without dates of service being passed off as experience.

Stamp paper, notary and signing

No stamp paper. Company letterhead with CIN, signed by HR or an authorised signatory. Most BGV agencies also verify by email to the HR address printed on the letter.

Common questions

Experience letter vs relieving letter?

A relieving letter says you were released on a date. An experience letter gives role and tenure and, for visas, duties. Big companies issue both; the sample combines them.

My company closed down — what now?

Collect offer letter, payslips, Form 16 and bank credits; most BGV teams accept those with an affidavit when the company no longer exists.

Can it mention my salary?

Only if you ask. For Indian job changes, leave it out; for immigration, include it.
