Experience letter for a nurse

Overseas nursing registrations (DataFlow for GCC, NMC UK, NMBI Ireland, AHPRA Australia) require experience letters with specific details: hospital bed strength, ward, duties, hours per week and exact dates. Indian hospitals issue these on request, but many omit details and the application gets delayed.

To whom it may concern,

This is to certify that Ms. Jisha Jose, Kerala Nurses and Midwives Council registration no. KL-12345, was employed at Lakeshore Hospital, Kochi (a 450-bed multi-speciality hospital accredited by NABH), as Staff Nurse in the Medical Intensive Care Unit from 10 January 2021 to 31 August 2026.

Her duties included direct patient care for critically ill adults, ventilator and infusion-pump management, medication administration, patient monitoring and documentation, and assisting in emergency procedures. She worked full-time, 48 hours per week, in rotating shifts, and was a permanent employee.

Her conduct and clinical performance were excellent and she had no disciplinary record. She resigned for overseas employment and was relieved after notice. All dues have been settled.

What it must include

  • Nursing council registration number
  • Hospital bed strength and accreditation (NABH / JCI)
  • Department / unit and duties in clinical terms
  • Hours per week, shift pattern, full-time / permanent status
  • Exact dates; no disciplinary record line
  • Signature of the Nursing Superintendent / Director with seal and hospital email for verification

Common mistakes

  • Missing bed strength or hours per week — the most common reason for DataFlow queries.
  • Letter signed by a ward in-charge instead of the Nursing Director or HR.
  • Dates that differ from the appointment order or relieving letter.

Stamp paper, notary and signing

No stamp paper. Hospital letterhead and seal. DataFlow and NMC verify directly with the hospital's HR by email, so the letter must match HR records exactly.

Common questions

DataFlow says it needs a specific format — which?

DataFlow verifies whatever letter you upload; what matters is that it has all the fields above and the hospital confirms it. The sample is built to satisfy that.

Can the hospital give one letter for several departments?

Yes; list each unit with its dates.

Nursing home with under 50 beds — is it accepted?

Usually counted, but some regulators (NMC UK) weigh experience in larger hospitals more. State the bed strength honestly.
