Authorization letter for bank work

Banks allow a representative to collect non-cash items (cheque book, statement, DD, debit card in some banks) or submit documents if the account holder gives a signed authorisation. Cash withdrawal by a third party is not allowed on a letter; that needs a bearer cheque or a mandate registered with the bank.

What it must include

  • Account number and branch
  • Exactly what may be collected or submitted
  • A line stating what is NOT authorised (cash, operating the account)
  • Relation and ID of the authorised person
  • Validity date; your signature matching the bank's specimen

Common mistakes

  • Signature different from the bank's specimen — the main reason letters are refused.
  • Asking for cash withdrawal; banks will not do it on a letter.
  • No account number.

Stamp paper, notary and signing

No stamp paper. Plain paper signed by the account holder. Banks compare your signature with their records, so sign as you did on the account form.

Common questions

Can someone deposit cash for me?

Anyone can deposit cash into your account with a pay-in slip; no letter needed.

Can the authorised person collect my debit card?

Depends on the bank; SBI and HDFC generally require the holder in person or send it by post.

For a company account?

Use a board resolution or the bank's own authorised-signatory form, not this letter.
